Job Description :

Job summary:

Reporting to the Vice President, Wireless Solutions and Innovation and the Vice President IT & Digital Strategy, you will be responsible for administrative support to them and to coordinate certain activities of the departments.

Key Responsibilities:

  • Prioritize and manage day to day activities, calendar, emails, phone calls, guests, commitments, appointments etc.

  • Arrange all travel and hotel accommodations for VPs and Management teams.

  • Coordinate executive and management meetings and all related to room bookings, required equipment and catering services.

  • Record minutes during management meetings and assists the VPs and Management teams in developing and distributing agenda and follow up on action plans.

  • Assist in the preparation of reports and briefing documents in a variety of formats (Google Slide, Google Doc, Google Sheet, etc.).

  • Supports the onboarding of new members of the management team.

  • Manage the approval and payment of invoices as well as the budgets.

  • Collaborate with other executive assistants, participate in common tasks and occasionally replace the receptionist.

  • Manage supplies orders and mail.

  • Provides assistance on ad-hoc business requests as needed.

  • Coordinate and collaborate with our stakeholders.

Academic training:

  • College diploma in office automation, administration or any other related discipline.

Work experience:

  • Cumulated ten years in similar functions in a large company.

Key skills:

  • Excellent command of French and English, both oral and written.

  • Excellent knowledge of Microsoft Office / Google Suite and ability to learn new software.

  • Demonstrates a good sense of collaboration and customer service both internally and externally.

  • Demonstrates discretion in handling confidential and sensitive information and tact in interpersonal communications.

  • Demonstrates a good ability to work with minimal supervision.

  • Very good ability to plan priorities.

  • Very good ability to juggle several files at the same time.

  • Great thoroughness in completing tasks.
