Bilingual Administrative Assistant

The incumbent provides comprehensive administrative support to a team of Regional Clinical Managers and Supervisors, counsellors, and the greater Clinical Services department.

This position may be based from a remote/home office, with flexibility for a hybrid role if preferred.


  • Provide general administrative support to Senior Clinical Director, Regional Clinical Managers (RCMs) and Supervisors in French Canada

  • Support onboarding for new hires

  • Answer basic counsellor questions (including billing an invoice questions, case model questions, etc.) and teach counsellors where to find the required information; as well as support with drop-in help sessions for counsellor network

  • Support with case reassignments as needed

  • Provide support for Clinical Team Meetings including location & invitation coordination, taking minutes, sending follow-up

  • Provide support for Regional Clinical Manager meetings including taking minutes, sending follow-up

  • Schedule RCM and counsellor consultation appointments

  • Act as service providers' direct point of contact for local facilities and IT

  • Complete regional counsellor absence entries

  • Provide administrative support for our Learning Line including creating certificates, etc.

  • Assist with preparation of region-specific communications

  • Other work as assigned

Succeeding as a Bilingual Administrative Assistant will require the following core qualifications and skills:

  • Professional level bilingual fluency in English and French is required, including proficiency with English and French grammar

  • 2+ years of related experience and training in administrative, secretarial or office technologies role

  • Advanced command of Microsoft Office 365 including MS Word, Excel, and PowerPoint specifically is required, experience with Sharepoint is an asset

  • Demonstrated high comfort level working with the internet

  • Proven ability to work with tight deadlines and fluctuating priorities

  • Excellent organizational skills and sound professional judgment

  • Strong interpersonal skills combined with good team spirit and ability to take initiative

  • Demonstrated reliability, flexibility, discretion, and enthusiasm
