Position Overview The English Language Program in Continuing Education is currently seeking a Full-time Limited Term Homestay Coordinator for approximately 1 year.

The University of Calgary has one of Canada’s largest and most successful continuing education programs.

Continuing Education is an academic unit whose mission is to provide high-quality educational opportunities to lifelong learners, thereby strengthening our community and our university.

Continuing Education administers more than 20,000 course enrolments per year, generating over $10 million in tuition revenues in the process.

The English Language Program provides second language learning solutions at the local and international level for individual, institutional, and business clients.

High quality, customer-centered, comprehensive language programs for international adult learners are the core business of the program.

This position reports to the Associate Director, International and works closely with the ESL Student Services Manager and other coordinators, instructors and staff in a cross-functional team environment.

Meeting business targets in a competitive environment is dependent upon providing quality programs and ensuring highly effective client service.

The ability to provide exceptional customer service, multi-task, develop systems for working in a job/share environment, communicate effectively and handle high volumes of work during peak periods is essential to this position.

Working under the general supervision of the Manager, Customer Service & Operations, ELP, the purpose of this position is to plan, execute and develop student-centered homestay accommodation for visiting international students with limited English language proficiency.

The ESL homestay program occasionally requires the ability to work a variable schedule (evenings, weekends, and irregular work days).

Some off-campus work will be required.

Peak work periods are August, September, January, and April.

Time off during peak periods will be limited.

Position Description Summary of Key Responsibilities (job functions include but are not limited to): Effectively coordinate homestay and other accommodation arrangements on or around campus to ensure the successful delivery of the English Language program.

Deal effectively with homestay program issues within established guidelines and procedures.

Resolve logistical issues that arise during provision of homestay placements.

Establish planning strategies and resource allocation to prepare for periods of peak homestay utilization.

Make appropriate referrals to University services and departments, and/or other education providers and services to link students with the most appropriate education programs for their needs and goals.

Ensure that client concerns are resolved effectively, following established procedures/guidelines or appropriate referral.

Ensure the needs of host families are supported appropriately (i.e.

provide relevant information on programs and general procedures, family payments, etc.) Ensure that University policy and procedures with respect to Copyright, Freedom of Information and Protection of Privacy Act, Records Management, and Risk Management are adhered to.

Effectively communicates to host families, students, and others regarding risk and liability associated with the program.

Monitor course financial accounts to ensure revenues and expenditures are reflected correctly.

Manage homestay database and homestay related courses in the Destiny One course registration system effectively in collaboration with IT.

Recruit prospective host families using various media tools and through direct consultation.

Evaluate the suitability of prospective host families through program applications, telephone interviews, and homestay visits.

Review student and host attributes and availability to make the best possible placements.

Monitor homestay placements, and conduct a follow-up student evaluations of host families.

Mentor new homestay families and provide guidance and support where necessary.

Qualifications / Requirements: Completion of a level of education equal to a business administration certificate, diploma program, or an equivalent combination of education and experience An undergraduate university degree in languages, tourism or education, or a demonstrated record of related continuous learning and experience Experience in the provision of homestay accommodation to international students and will possess broad knowledge of the ESL market and study abroad.

An ability to perform multiple and complex tasks with attention to detail in a fast paced challenging environment is required.

A high degree of personal effectiveness with strong organizational and administrative skills.

Good judgment and initiative, tact and diplomacy in dealing with students, instructors, staff, and external organizations is essential.

Work experience in a post-secondary educational environment would be beneficial Excellent communication, interpersonal, organizational, and time management skills with the ability to set priorities and meet deadlines Reliable team player who uses good judgment, approaches matters in a professional and positive manner, and demonstrates a strong customer service orientation.

Strong working knowledge of Microsoft Professional Office (Word, Excel, PowerPoint) email, and calendar.

Experience with the University’s core business systems
– PeopleSoft, e-Procurement, and Continuing Education Student Registration System (Destiny One) or other educational student information systems would be an asset.

Positive attitude and demonstrated ability to be a collaborative team member.

Cross-cultural sensitivity and experience working with clients of limited English proficiency.

Oral and written fluency in Japanese, Spanish, or Korean would be an asset.

Knowledge of language learning theory and principles is an asset.

Must hold a valid Class 5 (non GDL) Alberta Vehicle Operators Licence The incumbent will be required to go to the location of the homestay family, so access to a vehicle is preferred.
