Job Title: Leasing and Legal AssistantReports To: Vice President Leasing, Western RegionDepartment:Leasing, Western RegionPosition SummaryProvide administrative support to one or more people within a regional team.Duties include general clerical and project-based work.Responsibilities:The specific duties and responsibilities for this position include but are not limited to the following: Leasing Respond to field leasing enquiries; Assist with site information gathering and drafting documentation and correspondence that is to be sent to prospective and existing tenants; Prepare Deal Summary Sheets; Review and revise commission agreements, process broker commission invoices.Act as liaison between tenants and accounting; Maintain leasing database, tracking schedules and various leasing reports; Prepare amending agreements, extension agreements, assignments of lease (for existing Tenants) as well as Offer to lease; Ability to review existing tenant leases and gain a full understanding of the Tenant’s history; Draft letters, faxes; Send waiver letter and copy of lease to tenants once a binding agreement is in place; Attend functions on behalf of the department; Liaise with planning, construction, finance, legal and accounting departments as required; Assist in preparation of Lease request forms; Keep the Leasing Manager organized with filing and other clerical responsibilities; Set-up and assist in preparation of external and internal meetings; Provide reception relief as required; Other projects as assigned.

LegalProvide administrative and secretarial support to the associate counsel.

Duties include general clerical and project-based work.The duties and responsibilities for this area include but are not limited to the following: Update all Legal Exclusive Binders (Project Plan Binders) with accurate information; Preparing/revising drafts of purchase and sale contracts, leases and amending agreements; Organizing legal and leasing files; Retrieve all Legal/Lease files for associates who need to see specific tenant files; General clerical duties including photocopying, faxing, mailing, filing and couriers; Time billing.Academic/Professional Requirements:College Diploma and/or Certificate in Administration; Required Skills/Experience:Minimum 3 year office/clerical experience in a commercial real estate environment or equivalent; Must excel in ability to prioritize workload; Ability to prioritize and multitask; Excellent oral and written communication skills and must possess the ability to effectively communicate across all levels of management within the company as well as outside the organization; Understanding of lease terminology; Proficient in MS Word, Power Point and Excel; Strong analytical and attention to detail skills; ValuesThe Leasing and Legal Assistant must be client focused, advocate and communicate a positive image of the company, both internally and externally.The Leasing and Legal Assistant shall take accountability for decisions made and conduct oneself in a respectful and ethical manner in representing the Trust’s interests.

The Leasing and Legal Assistant shall demonstrate entrepreneurialism and behave like an “owner” in carrying out daily tasks and responsibilities; demonstrating creativity and resourcefulness in achieving desired results.
